Why a booking's status changed on its own

Some statuses move by themselves as you add shifts and people, and a finished job can move to Completed without you. Here is every change Logidex makes, and the ones it never makes.

Every booking has a status: Inquiry, Pending Match, Confirmed Match, Booked, Completed or Canceled. Some of those Logidex moves for you, and some only ever move when you choose them.

If a status changed and you did not touch it, one of the rules below did it.

You can rename any status and pick its color in Customize → Workflow. This article uses the standard names.

The three that follow your shifts

While a booking is at Inquiry, Pending Match or Confirmed Match, Logidex keeps its status in step with its shifts. Every time a shift is added, removed, filled or emptied, it looks again:

  • No shifts → Inquiry
  • At least one shift with nobody on it → Pending Match
  • Every shift has someone on it → Confirmed Match

So adding the first shift to an inquiry turns it into Pending Match straight away. Filling the last empty shift turns it into Confirmed Match. Deleting every shift sends it back to Inquiry.

A canceled shift does not count either way. A booking with one canceled shift and one filled shift is Confirmed Match.

⭐ This works in both directions, and picking one of these three by hand does not stop it. If you set a booking to Pending Match yourself, the next change to its shifts moves it again.

The one that is always yours: Booked

Logidex never moves a booking to Booked. That is the step that says the client is really committed, so only you decide it.

A booking can sit at Confirmed Match for days while you wait on a deposit or a contract. That is normal. Your home page lists these under Confirmed matches in Needs Attention, so they are not forgotten.

Once a booking is Booked, its status stops following its shifts. Taking someone off a shift will not move it back to Pending Match. The empty shift shows up under Needs a match on your home page instead.

Booked to Completed, when the job is over

A Booked job moves to Completed once its last shift has ended, in the booking's own time zone. A 12 to 2 PM job moves just after 2 PM. A job in another state uses that state's clock.

A shift that runs past midnight counts as ending the next morning. An 8 PM to 1 AM shift is not finished until after 1 AM.

Logidex makes this check whenever someone on your team opens Home or Events. If nobody opens Logidex that evening, the job moves the next time somebody does.

Prefer to do it yourself? Go to Customize → Workflow → When a job is finished and pick Leave it to me. Nothing then moves on its own. Finished jobs are listed on your home page under Finished jobs, each with a button to mark it Completed, plus one to mark them all.

⭐ Completing a job is also what puts the people who worked it into Update Ratings on your home page.

Old inquiries are archived

An inquiry whose date has passed never turned into work, so Logidex archives it to keep your Events list clean.

  • Only Inquiry is archived. A booking at Pending Match or Confirmed Match is left alone, in case you are still working on it.
  • Nothing is deleted. Find it under Events → Archived, tick it and press Restore.

The ones Logidex never touches

Canceled only ever changes when you change it, and Logidex never moves a booking out of Completed.

The follow-up beside the status (Awaiting deposit, Needs contract and the rest) is never changed automatically either.

Quick answers

  • "I added a shift and my inquiry became Pending Match." That is the first rule above. Delete the shift and it goes back to Inquiry.
  • "It says Completed but I have not been paid yet." Completed means the work is done. It says nothing about money. Track payment with the follow-up beside the status.
  • "An inquiry disappeared from my list." Check Events → Archived. An inquiry whose date has passed is archived automatically.
